Bag Carton Data to Confirm Before Freight Booking
Before a forwarder prices or books a bulk bag shipment, confirm the packed-carton details by SKU: carton count, units per carton, outer dimensions, gross/net weight, packing marks, destination and whether each figure is final or estimated.
This guide covers the handoff between a bulk bag purchase order and freight planning. It is separate from choosing sea, air or express service: the aim here is to help the buyer request shipment inputs in a format that can be checked against the order. The actual freight quote and document requirements depend on the shipment, route and logistics provider.
Request shipment figures by SKU, not just as one total
A shipment may contain multiple bag styles, sizes, colours or packing configurations. If the packing details are reported only as one carton total, it can be harder to reconcile the goods against the purchase-order split. Ask for each SKU or clearly identified group to show its carton count and units per carton, then reconcile those quantities to the approved order.
Separate estimates from final measurements. A preliminary carton plan can support early planning, but label it with its status and date. Before a final booking, confirm with the forwarder what data it needs and when measured packed-carton figures will be available.
Use this carton-data checklist
| Field | What to request | How the buyer should check it |
|---|---|---|
| SKU / bag identity | Style, size, colour and PO line or SKU reference | Match the shipment line to the approved order split |
| Carton count | Number of cartons for each SKU or group | Check that groups add to the shipment total |
| Units per carton | Packed pieces per carton and any mixed-SKU detail | Reconcile cartons × pieces with PO quantities |
| Outer dimensions | Length × width × height with units, measured on the packed carton | Confirm orientation/units and whether figures are final or estimated |
| Weight | Gross weight per carton and net weight if requested | Ask the forwarder what weight basis it needs |
| Packing and marks | Inner packing, carton marks, labels and any mixed contents | Compare with the purchase order and receiving instructions |
| Shipment context | Destination, named delivery point, collection readiness and data date | Make sure supplier, buyer and forwarder use the same route details |
Reconcile the packing list with the purchase order
- Start from the final order split by style, colour, size and artwork.
- For each line, check cartons multiplied by pieces per carton against the ordered quantity.
- Flag any mixed cartons, partial cartons or packing differences instead of silently combining them.
- Check that units and measurement labels are explicit for dimensions and weight.
- Send the same dated carton summary to the forwarder and ask whether anything else is needed for its quotation or booking.
- Keep revised figures marked with their version and status so older estimates are not reused accidentally.
If a packing count changes, ask whether the carton quantity, gross weight, dimensions or shipment estimate also changes. Do not infer a final freight amount from a product-page unit price or from an unconfirmed carton plan.
