Why volume, not weight, decides your cost

Air and courier providers may calculate chargeable weight using actual or volumetric weight, with the divisor and rounding rules set by the carrier and service. For sea LCL, the forwarder uses shipment volume and applicable minimum charges. Do not rely on a generic online formula as a final price: request the carrier or forwarder’s current calculation for your packed cartons.

For a carton, volume in cubic metres (CBM) is length × width × height in centimetres ÷ 1,000,000. Multiply by carton count for total volume. Confirm the dimensions and gross weight after final packing.

Rough volume guide

Piece count alone cannot determine shipping volume. Bag size, material, handles, folding method, individual packaging and carton limits all change the result. Use the final packing specification from the factory. A useful estimate requires:

Order quantity, bag dimensions, material and handle construction.
Carton dimensions, carton count, gross weight and packing method.
Destination city or postcode, required arrival date and preferred Incoterm.

How to cut freight cost

Compress and flat-pack. Bags have a lot of trapped air; proper folding and compression can cut volume noticeably.
Remove individual poly bags if you do not need them.
Use the largest carton that stays within handling limits — fewer cartons, less void space.
Ship heavier or denser items with the bags if you have other goods from the same region.
Plan around the actual sailing and production calendar. Capacity and rates can change around holidays or disruptions; ask for a current schedule rather than relying on a fixed seasonal rule.

Customs and paperwork

Shipping and import documents depend on the product and destination. A commercial invoice, packing list and transport document are commonly involved; classification, permits, origin documents, taxes and tests must be confirmed for the specific goods and market with the importer or customs broker. A DDP quote means the seller takes on import clearance and applicable duties/taxes under the agreed Incoterms® 2020 named destination, but availability and the seller’s ability to act as importer vary by country. Insurance

Ask who bears transit risk, what insurance is included, the insured value, exclusions and claims procedure. Under CIF Incoterms® 2020 the seller arranges the rule’s required minimum insurance for the named port, but that cover may not match the buyer’s desired protection. DDP does not itself require the seller to buy insurance. Confirm the actual policy and delivery terms in the written quotation.

Peak-season planning

Confirm factory production dates and the forwarder’s current sailing or flight schedule.
Allow for packing, pickup, consolidation, customs clearance and final-mile delivery, not just the main transport leg.
Reconfirm the schedule near dispatch; route capacity and port conditions can change.
