7 Common Mistakes When Ordering Custom Bags (And How to Avoid Them)

After thousands of custom bag orders, the same problems come up again and again — and almost all of them are avoidable at the quotation stage. Here are the seven we see most, with the fix for each.

1. Specifying "a cotton bag" instead of a specification

Cotton bags range from 6 oz to 16 oz, flat to gusseted, with five handle types and countless sizes. "A cotton bag" invites the cheapest interpretation — and the cheapest interpretation is often the wrong bag for your brand.

The fix: send a spec sheet with size (W × H × D cm), fabric weight, handle type and length, print method and positions, and packaging. If you do not have one, send a photo of a bag you like and ask us to write the spec for you.

2. Skipping the physical sample

Screens distort colour, and photos cannot show drape, stiffness or stitch quality. Buyers who approve from a digital mock-up alone are the ones who discover a problem at 5,000 pieces.

The fix: always order one physical sample (3–7 working days). The fee is credited against your bulk order, so it costs nothing if you proceed.

3. Choosing fabric weight by price alone

An 80 gsm non-woven tote is fine for a lightweight giveaway, but it will not carry books or groceries comfortably. A 12 oz cotton tote feels premium; a 6 oz one feels thin. Choosing purely on unit price often produces a bag that disappoints customers.

The fix: decide what the bag must carry and how long it must last, then pick the weight. Read our material comparison.

4. Leaving artwork to the last minute

Print-ready artwork drives the whole schedule. A low-resolution logo, a missing font or a design that needs six colours all add days — or force an expensive print method.

The fix: supply vector artwork (AI, PDF, CDR) or a 300 dpi PNG at final print size, and ask us to review it before you pay a deposit. We will tell you if it needs simplification.

5. Setting an unrealistic deadline

"We need 10,000 bags in three weeks" is not a production plan. Custom bags take 15–25 working days to produce plus shipping, and the clock only starts after artwork approval and deposit.

The fix: plan backwards from your launch date, add a buffer, and ask us to confirm the schedule in writing. See lead times explained.

6. Not agreeing the quality standard in advance

If you never define what "good" means, you cannot hold anyone to it. Print tolerance, stitch density, size tolerance and acceptable defect rates should all be agreed before production.

The fix: write it into the order — 100% inspection with AQL 2.5, size tolerance ±1 cm, colour matched to the approved sample, and a photo report before shipment.

7. Forgetting the costs after the factory gate

Freight, insurance, duty and taxes can add 20–50% to the landed cost of a bag order. Buyers who budget only the FOB price are often shocked at the final number — and sometimes cannot price their product profitably.

Bonus: three smaller traps

• Approving by email without saying "approved". State it explicitly so the production reference is clear.
• Changing specs after the sample. Every change resets part of the process.
• Ordering exactly what you need with no spare. Order 2–3% extra for damages and staff samples — it is far cheaper than a second run.

A simple checklist before you pay a deposit

1. Written specification with size, weight, handles, print and packaging
2. Physical sample approved in writing
3. Unit price per tier, MOQ and Incoterm confirmed
4. Lead time and shipping method agreed
5. QC standard and photo report agreed
6. Landed-cost estimate in hand
7. Proforma invoice checked, including bank details
