Trial Orders: Test a Bag Supplier Before Scaling

A trial order is not a guarantee of future performance. It is a structured first production purchase: write down the specification, agree how the goods will be checked, and compare delivery with those points before discussing repeat volume.

Separate a working sample from a production trial. A sample is a review piece made against the proposed specification. A production order is a batch subject to the stated minimum quantity. Here, the published minimum is 500 pieces for each style, colour and size combination, so a “trial” does not mean a sub-MOQ production run. A different colourway or size may need to meet its own minimum.

Define what the pilot is meant to prove

Before requesting a price, identify what the batch should help you evaluate: a bag shape, print on a material, colourway or the supplier's written process. Keep the scope clear; changes to size, material, artwork or colour make comparisons harder.

Use one specification sheet for every quote: finished dimensions, material/weight, colour, handles, artwork and print position, quantity by style/colour/size, packing, destination and requested trade term. A reference image helps but does not replace measurements. See the custom bag RFQ checklist.

How to structure the trial

Published price breaks are 500, 1,000, 3,000, 5,000 and 10,000 pieces, with lower unit prices at higher tiers. Ask for the quantity basis and total in writing; do not assume styles or colours can be combined. See wholesale terms.

Agree how the goods will be reviewed

There is no universal defect percentage or inspection method for every order. Agree the checks, sampling level, timing, responsibility and cost in writing. If you require an independent inspection or report, include it in the order documents before placing the order.

Define observable checks such as measurement points, colour reference, logo position, construction details and packing marks. Put any important tolerance or acceptance rule in the order documents, and keep the approved specification and sample as references.

What to compare in the delivered batch

• Dimensions and construction — use the agreed measurement points, handle type, seams, gusset and base details.
• Material and colour — compare the supplied material and the agreed colour reference with the order specification.
• Artwork and print — check the approved file, print method, location, size and colour requirements.
• Quantity and packing — reconcile the order quantity and review any agreed packing or carton-mark instructions.
• Documents — compare the commercial invoice and packing information with the order documents and shipment.
• Schedule — compare actual milestones with the dates confirmed for this order; keep production timing separate from transit time.

Confirm payment and shipping before placing the order

Published bulk terms are T/T 30% deposit and balance before shipment. Samples and small orders are listed for PayPal or card through the payment gateway; confirm availability and fees. Match the proforma invoice before paying and independently verify any bank-detail change through a known contact channel.

FOB Guangzhou is standard; CIF or DDP can be requested and are confirmed per product, route and order. Check destination costs and responsibilities. Sample preparation takes 3–7 working days after specs and artwork are confirmed; courier transit is separate. Confirm bulk and shipment dates for your order.

Buyer checks that reduce avoidable confusion

1. Match supplier/payee details with the agreed documents.
2. Check that invoice states product, quantity basis, price, currency, trade term and payment milestones.
3. Agree any inspection, evidence, timing and cost; do not assume reports are included.
4. Keep the final specification, artwork approval and sample with the invoice; record changes in writing.

Decide whether to repeat or adjust

After receipt, compare the batch with the agreed criteria and record any differences that affect use, branding or packing. Discuss issues against the written order terms; do not assume a remedy unless it was agreed. Before repeating, reconfirm the specification, price tier and schedule.

The right checks depend on the bag, artwork, destination and buyer requirements. A written specification and confirmed quotation make supplier comparisons more useful than unit price alone.
