Tote Bag Artwork Placement: A Bulk Buyer Checklist
Send the bag style, finished dimensions, artwork revision, requested print size, panel and side. Then ask the supplier to confirm the usable print area and placement for that exact SKU. Bag dimensions are not a universal print-area template.
This guide is for brand buyers, importers and promotional-product distributors preparing a production order. It focuses on a practical handoff: how to describe where artwork should appear, what the supplier must confirm and how to keep the approved version attached to the quote. It is not a promise that every design or placement works on every bag.
1. Separate bag size from printable area
A tote’s width, height and gusset describe the finished bag. They do not by themselves state the space available for decoration. Handles, seams, folds, pockets and the selected construction can affect the usable panel. Avoid copying a print dimension from another supplier or a different bag model. Ask for confirmation against your exact style, size and material.
If your layout depends on a particular border, full-panel design or distance from a seam, show that visually and ask the supplier to mark the feasible area. Treat the supplier’s confirmed production drawing, proof or sample as the reference—not a generic internet diagram.
2. Identify the panel and orientation
“Print the logo on the front” can still leave room for different interpretations. State which side faces the user when the bag is carried, whether the reverse is blank or printed, and whether the graphic is centered, offset or aligned to a feature. If the bag has a gusset, pocket or distinctive handle, point to it in an annotated image.
| RFQ field | What the buyer specifies | What the supplier confirms |
|---|---|---|
| Bag reference | Style, size, material and colour | The exact SKU or construction being quoted |
| Artwork revision | File name and revision/date | That the same revision is used for the proof and order record |
| Print size | Requested width × height, with units | Feasible size on the selected panel and method |
| Position | Panel, side, orientation and a marked reference point | Placement shown on a bag-specific proof or sample |
| Colours | Number of colours and references where relevant | Print method, colour interpretation and any price change |
3. Prepare files for review
Send the original artwork where available, not only a screenshot embedded in an email. Include the requested final print dimensions and colour references, and ask the supplier which file formats it accepts. If fonts, linked images or colour separations may matter, ask whether they need to be outlined, embedded or supplied separately. File requirements can vary by print process; do not assume one format works for every job.
Keep a clear revision name such as Brand_Tote_Front_v03_2026-10-24. If the logo, wording, size or position changes after a proof, send a new revision and ask for the updated proof to replace the earlier one. This simple version control helps the buyer, designer and supplier discuss the same file.
4. Approve the design and the bag as one specification
- Choose the bag style and state finished width, height, gusset, material and body colour.
- Send the final artwork revision, requested print size, location, print side(s) and colours.
- Ask the supplier to confirm feasibility, method, print-area limits and any cost or timing changes in writing.
- Review the proof for spelling, orientation, scale, position, colours and clearance from seams or handles.
- Where the project requires a physical sample, check the actual bag and print against the approved reference before authorizing bulk production.
- Keep the accepted artwork revision and approved sample reference with the final quotation and purchase order.
A screen preview can help communicate a request, but it cannot establish the final appearance on a fabric surface. If colour, position or finish is critical, state how it will be reviewed and what reference will control approval. The appropriate method and sample route must be confirmed for the specific order.
