How to Choose a Bag Manufacturer in China: A 12-Point Checklist

China makes the majority of the world's reusable bags, but the quality and reliability of suppliers varies enormously. This checklist is what we would use if we were buying bags ourselves.

1. Factory or trading company?

Trading companies are not automatically bad, but you should know who you are dealing with. Ask for the factory address, a business licence, and a live video call walking through the workshop. A real factory can show cutting tables, stitching lines and a QC area — and can answer technical questions about gsm, stitch density and machine types.

2. Product focus

A supplier that makes everything from umbrellas to furniture is unlikely to be expert in bags. Look for a manufacturer whose catalogue is concentrated in your category: non-woven bags, cotton totes, gift bags, liners.

3. Material knowledge

Ask directly: what gsm is this fabric, what is the handle attachment, how many stitches per inch, what is the print method? Vague answers are a warning sign.

4. Certifications and audits

• BSCI / Sedex / ISO 9001 — social compliance and quality systems
• GOTS / GRS — organic cotton and recycled content, important for eco brands
• REACH / CPSIA — chemical and safety compliance for the EU and US

Ask for the certificate number and issuing body — certificates can be verified.

5. Sampling before commitment

Never place a bulk order with a new supplier without a physical sample. A serious manufacturer will produce one in days and let you judge the real fabric and print. If sampling is slow or evasive, production will be worse.

6. Quality control process

Ask: do you inspect 100% of pieces or use AQL sampling? Do you photograph the goods before shipment? Is a third-party inspection (SGS, BV, Intertek) welcome? Buyers who insist on AQL 2.5 and a photo report get far fewer surprises.

7. Transparent pricing structure

A professional quote states: material and weight, size, print colours included, handle type, packaging, MOQ, unit price per tier, Incoterm (FOB/CIF/DDP) and what is excluded. If the quote is a single number with no breakdown, ask for the detail.

8. Realistic lead times

Beware of "7 days for everything". Honest lead times for custom bags are 3–7 working days for samples and 15–25 working days for bulk, plus shipping. A supplier who promises impossible speed is either outsourcing late or cutting QC.

9. Communication quality

Response speed before you pay is the best predictor of service after you pay. Do they answer within a day? Do they answer the actual question? Do they volunteer problems early, or hide them?

10. Payment safety

Standard terms are T/T 30% deposit, 70% before shipment. Be cautious with suppliers demanding 100% upfront. For a first order, start small, pay by a traceable method, and make sure the beneficiary name matches the company name on the contract.

11. References and repeat clients

Ask how long their average client has been with them and whether they can share a reference in your market. Long-term clients are the strongest signal of reliability.

12. Problem resolution

Every order eventually hits a snag. Ask: what happens if part of the shipment is defective? A clear, written remedy policy (replacement, credit or rework) tells you a lot about how the relationship will go.

Red flags

• Prices far below the market with no explanation
• Refusal to provide a sample or factory video
• Only personal email addresses, no company domain, no business licence
• Pressure to pay 100% upfront or to pay to a personal bank account
• Unable to explain basic specifications
• No written QC process

Green flags

• Answers technical questions precisely and quickly
• Sends a digital mock-up before sampling
• Offers tiered pricing and clear exclusions
• Welcomes third-party inspection
• Has verifiable certificates and long-term clients
