How to Calculate Tote Bag Cost Per Unit (With Worked Examples)
A bag's price is fabric, print, labour, packaging and freight. Fabric weight is the biggest lever — 8 oz versus 12 oz cotton can move the unit price further than any negotiation. Worked examples inside.
Understanding the cost stack helps you negotiate, compare quotes honestly, and price your own product with a real margin. Here is how a bag's unit cost is built.
The cost stack
- Material — the largest component. Fabric, handles, thread, zips, lining.
- Printing — screens or film, set-up, ink, and the labour to run the print.
- Cutting and stitching labour — cutting, sewing, handle attachment, trimming.
- Finishing and QC — inspection, trimming, ironing, folding.
- Packaging — poly bags, header cards, cartons, shipping marks.
- Factory overhead and margin — rent, machines, management, profit.
Fixed elements (screen set-up, cutting dies, sampling) are spread across the order quantity — which is why unit cost falls so sharply with volume.
Worked example 1: non-woven tote, 500 pcs

At the 500-pcs tier the printed tote sits at the highest unit price we publish; at 10,000 pcs the same bag falls dramatically because the fixed costs are spread and fabric is bought at scale.
Worked example 2: 12 oz cotton tote
Cotton is several times the price of non-woven per square metre, so material dominates even more. Adding a gusset, an inner pocket or a zip adds both material and minutes of labour. Embroidery costs more than a one-colour screen print because it is machine time per stitch, not a single set-up.
The formula in practice
For a simple quoted comparison:
Unit price = (fixed set-up ÷ quantity) + material + print running + labour + packaging + overhead + margin
You rarely see the internal numbers, but this explains the behaviour you observe: prices drop with quantity, and complexity raises them.
Landed cost: the number that actually matters
The FOB price is not your cost. Your true cost includes:

Landed cost per bag = (FOB total + freight + insurance + duty + clearance) ÷ quantity (excluding reclaimable VAT).
How to reduce unit cost
- Move up a tier. 1,000 pcs instead of 500 usually beats any negotiation on price.
- Simplify the print. Two colours instead of six.
- Keep one size. Multiple sizes multiply set-up costs.
- Choose stock colours instead of custom-dyed fabric.
- Reduce packaging — bulk cartons instead of individual poly bags.
- Compress for freight — flat-packing lowers CBM and therefore sea freight.
- Plan the shipping route — sea for volume, express only for urgent small batches.
How to price your own product
A simple, safe structure: aim for a landed cost that is no more than 25–35% of your retail price. If your landed cost per tote is $1.50 and you sell at $8.00, your gross margin is healthy enough to absorb marketplace fees, shipping to the customer and returns.
Comparing quotes fairly
When two quotes differ, ask: what gsm, what size, how many print colours included, what handles, what packaging, which Incoterm, and what payment terms. Most "cheaper" quotes turn out to be a lighter bag, a smaller size, or a price that excludes printing.
